A private driver booking checklist helps you compare quotations before you commit. Start with the trip you actually need: dates, stops, booked hours, passengers and bags. Then ask each provider to confirm the same details in writing.
This guide explains what to check. If you are ready to arrange transport, use our private driver services overview, Bangkok half-day and full-day hire page or multi-day driver service page for the relevant booking information.
1. Describe the journey you need
Distinguish a direct transfer from a day with several visits or an itinerary with overnight stays. Include your final destination as well as the first pickup. These are different arrangements, so a single transfer price does not tell you what a sightseeing day will cost.
2. Write down your dates and stops
List the date, pickup address, preferred start, stops and final drop-off. Include anything with a fixed time, such as a flight, appointment or admission slot. For an overnight flight, use the date you land in Thailand.
For several days, list each overnight destination and hotel change. A provider needs more detail than a list of provinces to assess driving and waiting.
3. Confirm booked hours and waiting
Ask when the booking starts and finishes, whether waiting is included, and what happens if a visit runs late. A half-day or full-day label should come with agreed hours. Check the charge and approval process for extra time or an added stop.
Allow for meals, rest, parking and traffic as well as time inside attractions. A flexible itinerary still needs a realistic finish time.

4. Compare the total quotation
Ask for the total for the same route, date, hours and vehicle requirements. Check whether fuel, tolls, parking and waiting are included, and identify anything charged separately.
- Extra time, extra stops or a different final destination.
- Child seats or special vehicle requests.
- Driver accommodation, allowances or vehicle repositioning on overnight trips.
- Ferries, admission tickets, meals and a licensed guide, where relevant.
Keep current service prices and inclusions on the provider’s booking page or written quotation. A published airport-transfer starting fare is not a day-hire quote.
5. Check the vehicle against your actual group
Compare passengers and bags together. A vehicle’s advertised seat count does not guarantee space for all suitcases with every seat occupied. Ask which vehicle or equivalent category is being offered and confirm the seating and luggage arrangement.
- Passengers: adults and children, including everyone travelling on each part of the journey.
- Bags: large suitcases, carry-ons, pushchairs and any mobility equipment.
- Access: tell the provider if entering a higher vehicle, steps or long walks may be difficult.
6. Agree child seats and other requirements
If you need child seats, send each child’s age, height and weight. Ask the provider to confirm availability, the proposed arrangement and any charge before booking. Mention planned meal breaks or other needs that affect the vehicle or schedule.
7. Confirm communication and pickup details
Keep a contact number and a way to reach the person arranging your journey. Ask how you will recognise the vehicle or pickup staff, where to meet and what to do if your flight or plans change.
English booking assistance does not automatically mean the driver speaks English. Ask for confirmation if that is important. A driver service and a licensed sightseeing guide are also different arrangements.
8. Read payment and cancellation terms
Before paying, check the total, deposit or payment schedule, cancellation deadlines and how to request changes. Confirm which time zone applies to deadlines. Keep the written quotation, booking confirmation and pickup instructions together.
An enquiry or quotation is not necessarily a confirmed booking. Follow the provider’s stated confirmation process and check that the final itinerary matches what you agreed.
Questions to settle before booking
What should a written driver quote include?
Dates, pickup and final drop-off, booked hours, stops, vehicle arrangements, passengers, luggage, total price, inclusions, extra charges and the payment and cancellation terms.
How early should I enquire?
Enquire when your dates and main route are known. If you need a particular vehicle or have several travel days, send the complete requirements so availability can be checked.
Can I change the itinerary during the trip?
Ask first. Additional time, distance or stops may affect price and availability. Agree how changes will be approved rather than assuming the booking is unlimited.
Should I choose a driver or use taxis?
That depends on the journey. Read our private driver and taxi comparison for help choosing between a planned vehicle, individual rides and public transport.
Save this private driver booking checklist
Before confirming, check these eight items together: journey type, dates and stops, hours and waiting, total quotation, vehicle and bags, child-seat needs, pickup communication, and payment terms.
For availability and SPNJ booking details, choose your driver service. Keep the checklist alongside the written quote so you can review the arrangement before accepting it.
